This article serves as a guide to managing and customizing appointment statuses in the Calendar View, and also when creating a new appointment.

The Appointment Statuses list includes options to activate, cancel, or manage appointment statuses. The list consists of the following columns:

  1. Active toggle
  2. Cancel toggle 
  3. Action column



Default statuses (Scheduled, Rendered and No Show) cannot be edited or deleted or their active/ cancel status cannot be changed.


Active Toggle:

Toggling ON makes the preferred Appointment Status “active”, which means it will be displayed in the Status drop-down while creating a new appointment. When you toggle OFF, the Appointment Status will no longer be displayed in the drop-down box

Cancel Toggle:

This toggle denotes that appointments with a particular status will be canceled and cannot be used for billing purposes. Additionally, those appointments will have a strike in the Calendar View to show it is canceled. 

Action Column:

The Action column allows you to undertake further actions for the preferred Appointment statuses, such as:

 

  • Edit Appointment Statuses: Click on the paper-pen icon to edit the appointment status. It will also show you how many appointments have been scheduled with the particular status. 
  • Delete Appointment Statuses: Click on the red trash icon to delete the appointment status. You will also get a confirmation pop-up asking if you are sure about deleting the appointment. 



Assigning Appointment Statuses When Creating an Appointment

  1. Click on the “+” icon in the Quick Icon Tray. Select the Create Appointment option. A pop-up will appear. 
  2. Select the therapy type and fill in/modify the necessary details.  
  3. Select the Status in the drop-down (bottom left). Any custom statuses you have added will appear here. 


How Appointment Statuses Appear in Calendar View?

  1. Navigate to the Appointment module (left). Select Calendar View under the drop-down option.
  2. Appointment statuses appear as follows:
    • Active (Not Cancelled): The appointment will appear normally in the Calendar View and will be included in the billing. 
    • Active and Cancelled: The appointment will have a strike-through in the Calendar View and will not be billed. 


To make changes or just view the Appointment Status in Calendar View: 

  1. Click on the preferred appointment
  2. Under the Status drop-down, choose the status that you prefer to display.
  3. Click Save to apply changes!
