This article explains how you can create an authorization or placeholder alongside adding insurance details.
All patients are required to have payor plans (i.e., authorization) in place for scheduling, receiving, and billing services. Insurance companies often provide authorization for specified date spans, as well as approved services and unit limits.
How to Create a New Authorization?
To create a new Authorization:1. Navigate to the Patients module.

2. Scroll down or use the search bar to find the desired patient.

3. Under the selected patient’s profile, click on Ins/Authorization.

4. Click on the “+” symbol above the Authorization list. It will redirect you to the new screen.

5. Add the following information:

- Description
- Insurance (Select from the drop-down menu)
- Treatment Type (Select from the drop-down menu)
- SUPV. Provider (short for supervising provider)
- Select Date (Pick from the calendar)
- Authorization Number
- UCI/Insurance ID
- COB (Select from the drop-down menu)
- Diagnosis 1/2/3/4
- Coins %
- Deductible
- CoPay Per (Select from the drop-down menu)
- CoPay
- CoPay Notes
- Auth Notes
- CMS 4 (Insured Name)
- CMS 11 (Group Number)
- Upload Authorization (Upload the file from your computer)
6. Save changes finally!
Creating a Secondary Authorization (Optional)
The above steps enable you to create a primary authorization. For adding secondary insurance details, please follow the steps below:
1. Click on “+ Secondary Insurance” to maximize the section.

2. Add the following information:

- Secondary Insurance (Select from the drop-down)
- Secondary UCI/Insurance ID
- Secondary Authorization Number
- Relation to Insured (Select from the drop-down)
- Upload Secondary Authorization (Upload the file from your computer)
3. To minimize the secondary insurance section, click on “- Secondary Insurance”.
4. Save changes finally!
Additional Buttons
Additionally, there are two toggle buttons on the top: Active and Placeholder. Select the appropriate toggle to display the authorization status in the patient’s authorization list.
